This policy covers thevillagedentist.com and our related landing pages, including invisalign.thevillagedentist.com.
It does not cover your dental record. Health information we collect when you are a patient of the practice is handled under Ontario's Personal Health Information Protection Act (PHIPA) and our clinical privacy practices. If you ask us about your dental record, we handle that request under PHIPA, not under this website policy.
When you fill in a form, book an appointment, or use the chat widget on our site, we may collect:
Please do not send us detailed health information through the website. Use a phone call or an in-person visit for that. Website forms are for getting in touch and booking, not for discussing your medical or dental history.
When you visit our site, some information is collected automatically by us and by the services listed in section 5:
Session recording. We use Microsoft Clarity, which records how you move through our site: mouse movement, scrolling, clicks, and which pages you visit. This is used to find problems with the website, such as a broken form. Clarity is set up to mask what you type into form fields, but you should assume that anything you type on a page could be captured and should not type sensitive health details into our website.
We do not sell your personal information. We do not rent or trade it.
We use outside companies to run our website and our contact systems. They can access your information only to do that job for us:
| Service | What it does |
|---|---|
| HighLevel (GoHighLevel) | Hosts our website and landing pages, stores form submissions, and sends our emails and text messages |
| Google (Analytics, Ads, Tag Manager) | Measures website traffic and tells us which ads lead to enquiries |
| Microsoft Clarity | Records website sessions so we can find usability problems |
We may also share information if the law requires it, or to protect the safety of a person.
Where your information is stored. These companies are based in the United States and your information is stored on servers outside Canada. While it is there, it may be accessed by the courts, law enforcement, or national security authorities of that country.
If you give us your phone number and agree to receive text messages, we may text you about appointments and about our services. Message and data rates may apply. You can stop at any time by replying STOP to any message. Replying STOP ends the text messages; it does not cancel your appointment.
Our site uses cookies and similar technologies for the purposes in section 4. You can:
If you turn off cookies, parts of our website may not work properly.
We keep website enquiries for 24 months and then delete them. If you become a patient, your dental record is kept for the period required by the Royal College of Dental Surgeons of Ontario, which is separate from this website policy.
You can ask us to:
Email [email protected] or call (416) 760-0404. We will respond within 30 days. We may need to confirm your identity first.
Our website is meant for adults. We do not knowingly collect information through this website from a child under 13 without a parent or guardian. If you believe a child has given us information, contact us and we will delete it. Children are of course welcome as patients of the practice, with a parent or guardian involved.
We use reasonable safeguards to protect your information, including encrypted connections to our website and access controls on our systems. No website can be guaranteed to be completely secure, and we cannot promise that.
If we change this policy we will post the new version here and update the "Last updated" date at the top.
If you are not satisfied with how we handled your information, contact our Privacy Officer at [email protected] or (416) 760-0404.
